I’ve been advocating for use of software in most areas of our life, since I started benefitting out of it. Think about how life would be different if we had access to all the software that we’ve today, because of the influx of Web apps. We live in a world in which customer expectations continue to increase, so software companies have to bring out new features and functions and make sure they’re making it better over time. So, we’re going to learn and iterate as we go through this, but I’m excited about the fact that using these you’ll be changing your life for good.
Note taking meant writing on paper, study groups meant face-to-face meetings, and if you were struggling through Shakespeare, your best bet was to turn to the library, not the Internet.
Well, okay, it was a just a few years ago, but just in this decade, and especially in the last few years, a handful of tools to make life easier have appeared. What follows is the set of web tools I would put in my tech stack to live a more efficient and effective life.
Office Replacements
There are a large number of impressive web apps that can handle your needs. The cream of the crop are below.
- Google Docs & Spreadsheets – One of the more developed online office tools, Google offers a word processor, spreadsheet and presentation.
- Zoho Office Suite – Zoho is one of the most complete online office suites, offering more tools than you’ll even find in Microsoft Office’s student and teacher version.
- gOFFICE – No frills gOFFICE has a very familiar look and feel.
- ThinkFree – ThinkFree can replace Word, Excel, and Powerpoint with its suite of online apps, and they offer downloadable versions of their software as well.
- EditGrid – EditGrid only does spreadsheets, but does them very well.
Writing
Hemingway Editor (Web, macOS, Windows): It points out opportunities to sharpen your writing, inspired by Ernest Hemingway’s concise writing style. This editor highlights passive voice, complex sentences, and adverbs that make your work harder to understand and provides a readability score to estimate how accessible your writing is.
Power Thesaurus (Web, Chrome, iOS, Android): Power Thesaurus shows synonyms, antonyms, definitions, and other forms of word assistance wherever you like to write.
OneLook Reverse Dictionary and Thesaurus (Web): OneLook offers all the synonyms you could find from a regular thesaurus, but it stands out in its reverse dictionary capabilities. Enter a phrase—or a full sentence—to get words that match that meaning. Is handy when you want to write more concisely.
Expresso (Web): It helps you switch up your words and sentence length by breaking your writing down into metrics based on word usage and sentence length, such as frequently repeated words and average sentence word count.
Wordtune (Web, Chrome, iOS): When you can’t get phrasing right in your writing, It helps by offering suggestions to reword, expand, and shorten your content using AI.
Grammarly (Web, Windows, Android, iOS, Chrome, Firefox): Checks for spelling, missing dashes, incorrect prepositions and grammar mistakes everywhere you write with Grammarly.
Notetaking
More and more people using laptops. The proliferation of portable computers means that note taking doesn’t have to happen with a pad and pen. The following web apps will help you take and organize your notes.
Mohiomap Turns Evernote, Google Drive and Dropbox Into Mind Maps
I use Evernote as an everything bucket. An Everything Bucket, is what I call applications that encourage the user to throw anything and everything into them. Despite my best efforts to keep things organized with multiple notebooks and tags, my evernote has become almost as unwieldy as an overstuffed filing cabinet, with stacks of web clippings, outlines and notes going back years.
That’s why I was intrigued by Mohiomap, a web app that turns your Evernote into mind maps. An app that helps me connect my ideas/notes from Evernote and Google Drive into mindmaps(that I love making), what more I could ask for.
Being a visual person by nature, am always looking into visual software, and trying to find how they can help me read, digest and analyze information better. This can help solve the problem of information overload and to get a visual overview of what’s in there, to comprehend all this information and knowledge stored in the platform, and make it more accessible and to me it seems to be fitting the bill.
You can utilize Mohiomap as a visual alternative to the search tools in Evernote, Google Drive, and Dropbox; rediscovering and organizing older files and documents; or simply getting a grasp on all the information you have stored in each platform.
Mind Mapping
Now you have your notes, you need to put them together. Mind mapping is a great way to record the wild flights of fancy that brains can often follow in a storm. Put another way, if you’re looking to trace and record the kind of free association that’s central to the brainstorming process, a mind map is an invaluable brainstorming tool. The following mind mapping/flow charting tools will help you get your thoughts in order so you can go from raw notes to polished dissertation.

- Miro: For capturing your ideas—good, bad, and otherwise—there’s no beating your online whiteboard. An online brainstorming tool like Miro, for example, provides you with templates that will take you from ideas to implementation. Zoom and scroll. Add shapes, text, and sticky notes. Keep your teams literally on the same page, or board, even if you can’t all be in the same room at the same time.
Studying
So you’ve got your notes, and you have them all mapped out and organized, but you still need to fill in some blanks. There are a number of online study aids that exist to help you find the answers you need.
- Anki is a program, so you’ll need to download it to your device before you can use the web version, but it is worth it if you use your flashcards for more serious studying. Anki allows you to use spaced repetition, an evidence-based learning method that serves up difficult concepts and easier ones at different times, helping you retain them. The open-source program supports audio, video, and images, as well as LaTeX scientific markup.
- Brainscape gives you the option to make your own flashcards, but also to search for decks made by other learners. The free-account option allows you to use text, while the paid version lets you add images and sounds, do more advanced editing, study an unlimited amount, import materials, copy other users’ flashcards into your files, and see learning stats.
- SparkNotes – SparkNotes are (mostly) free, online CliffsNotes for a large number of books. They also do test prep, mathematics, science and a number of other subjects. Of course they can’t really substitute for actually reading a book, but they can help you if you’re having trouble figuring out Emily Bronte. (And it turns out that many CliffsNotes are now online for free as well!)
- Quizlet: Flashcards on repeat. With seven different study modes, students can pick which mode works best for their learning. Allows you to create flashcards (with pictures!), browse other people’s flashcards, and take practice quizzes. Quizlet tracks their progress and provides instant feedback on where to focus.
- Wisdolia is a free browser extension that automatically generates digital flash cards in multiple languages in Google Chrome. The cards divide content into bite-sized chunks in a question-answer format, making it easier to understand and remember the information presented. The next time you find yourself getting stuck while trying to glean the important information from a long YouTube video, a dense PDF, or a bunch of articles, use Wisdolia to quickly turn any of them into flash cards, and make learning easier. It also integrates with Anki, a platform specializing in flash card learning. You can save all of Wisdolia’s flash cards to Anki using the steps described here. Anki has apps for all major platforms, including smartphones, and you can use this integration to synchronize your learning across devices.
- Cram is the simplest flashcard deck, with cards that have a front and back and can be used for quizzing and it’s free. You get plain, white cards that the site displays either as traditional flashcards, a matching game with drop-down menus, or classic computer games that pull your flashcard information into them. There are no unnecessary frills here. Enter the information onto the cards and study.
- Citationsy is a tool that will create a citation for any book after you scan the barcode with your camera. It can produce citations in Chicago, MLA, or other formats you’re being asked to use, and it offers a fast, simple alternative to other citation makers—especially when you’re referencing physical books, which are laborious to manually input into other generators.
Bookmarking/Screen Capture
With all that online studying you need a way to keep track of what you’ve read. Online bookmarking tools are a great way to do just that.
- del.icio.us – There are a large number of social bookmarking apps, but del.icio.us is king among them. If you don’t like it, try Furl, Ma.gnolia, or Blinklist.
- Clipmarks – Save just a selection of a site. Don’t like Clipmarks? Try Web-Chops.
- Wizlite – Highlight text in online documents the way you would in a text book. Don’t like Wizlite? Try i-Lighter.
- Scribe: Walking an intern through company software, or explaining Google Docs to your tech-challenged friends and family a visual guide works best. If you know the steps already, all you need is a tool like Scribe, it watches you complete a task on your computer, then automatically builds a visual, step-by-step guide to that task you can share with others. Its Chrome extension works similarly to a video recorder, but the result features text prompts, screenshots, and even annotations indicating where someone needs to click. Scribe free plan is very generous, you can record, edit, and share any guide on the web quite freely.
Collaboration
- Notion – All your notes, lists, tables, documents and ideas in one shared space. A collaborative wiki that you can use to keep track of notes on a project. Keep in touch with classmates or colleagues or family members or friends, share and discuss notes, and create study groups.
If you’re confused between Evernote and Notion, Evernote and Notion have different objectives: Evernote is built for note-taking and organizing those notes, whereas Notion is an all-in-one workspace tool meant to organize knowledge, manage tasks, and enable collaboration.
Calendars
Juggling your job or class schedule, extra curricular activities, study time, and social life can be a challenge. For better and for worse, calendars run our lives. To make sure you have time to get important work done, it can be helpful to block time in your calendar for working on specific tasks, not just for meetings. Today Calendar represents a parcel of time that is no longer ours. Real life is whatever we can squeeze in between the blocks. If you like to block time on your calendar to tackle tasks, how about a Calendar that cared not just about the stuff you’ve to do but also the stuff you want to do?

World Clocks/ Time Zone converters:
World Time Buddy packs a lot of information on time zone calculations in little space. On a single table, you get to see the current time at all your locations, office hours, the date, time zone names, time differences, whether locals use 24 hours or AM/PM and your Google calendar.

- Flowchart software Lucidchart: A whiteboard is great for capturing any idea that might have a chance of sticking to a wall. Need a more orderly approach to planning. For those of you that are more linear in your thinking, a flowchart or diagramming platform is a fantastic option for a brainstorming app. Lucidchart provides you with a ton of planning functionality, even at the free tier. Choose from specific templates, like API workflows or algorithms, and then chart your processes with a variety of shapes and styles, even Venn diagrams. Manage a host of file types and collaborate in real time to provide your teams with a synchronous interface.
